Tutor Index - Terms and Conditions

1. About Tutor Index

  • Specialized in one-on-one online tutoring
  • Not a traditional school setting. (Tutoring only)

2. Individual Lessons

2.1 Invoicing and Payment

  • Lessons are invoiced in advance
  • No lessons will be provided until payment is received
  • Late payment will result in lesson suspension

2.2 Lesson Cancellation and Credit Policy

2.2.1 Tutor Cancellation

  • Credit for the lesson will be given if the tutor cancels a lesson
  • The tutor can alternatively schedule a catchup lesson, depending on timetable availability

2.2.2 Student Illness

  • Credit will be issued if the student provides at least 3 hours' notice due to illness
  • Cancellations less than 3 hours before the lesson due to illness will be fully charged
  • Only one lesson's credit will be awarded per month for consistent illness-related absences

2.2.3 Other Cancellations

  • Cancellations for appointments (dental, driver's license) must be made 24 hours in advance
  • Failure to provide 24-hour notice will result in full lesson charges

3. Parent Involvement

3.1 Digital Access

  • Parents may be added to Google Classroom upon request to:
    • Monitor student work submission
    • Review marked tests and assignments

3.2 Lesson Participation

  • Parents ARE NOT permitted to:
  • Sit in on lessons
  • Actively listen or participate during tutoring sessions
  • If parents are present or suspected to be present, the student may be requested to use headphones

3.3 Parental Support Expectations

  • Parents are expected to:
    • Support student's studying
    • Ensure student's home study and note-making
  • Parents cannot dictate:
    • How lessons are conducted
    • Textbook or material selection

3.4 Communication Guidelines

  • Contact methods: WhatsApp or email
  • Communication hours: 7 AM - 4 PM
  • Communication by parents should be:
    • Minimal
    • Case-specific
  • Updates will be provided only, when necessary, by the tutors

3.5 Student Acceptance

Students following Cambridge curriculum are expected to demonstrate:

  • Maturity
  • Self-discipline
  • Proper work ethos

4. Testing and Marking

4.1 Long-Term Student Benefits

  • Students signed up for at least one year receive:
    • Unit testing
    • Two mock exam sets before final exams (for students completing end exams that year)

4.2 Additional Marking

  • Further marking is at the tutor's discretion
  • Additional marking requested by parents will be charged separately

5. Technical Requirements

5.1 Student Equipment

  • Required:
    • Internet-connected device
    • Stable internet connection suitable for online lessons
    • Active email account

5.2 Homework Submission

  • Homework must be scanned and uploaded to Google Classroom
  • If no scanner is available, use a trustworthy scanning app on a smartphone

6. Group Lessons

6.1 Invoicing and Payment

  • Lessons invoiced in advance
  • No lessons without full payment
  • If one parent is late in payment:
    • Lessons continue
    • Late-paying parent still charged

6.2 Cancellation and Credit Policy

6.2.1 Illness and Cancellations

  • Same illness and cancellation rules as individual lessons apply
  • Credit given only to the specific absent student
  • Lessons continue with remaining students

6.2.2 Lesson Continuity

  • Lessons proceed with one or more students present
  • Absent students responsible for catching up on missed content

6.3 Group Dynamics

  • If a student leaves the group:
  • Per-student rate will increase

6.4 Group Class Size

Tutor Index reserves the exclusive right to determine and modify the number of students in any group lesson at its sole discretion. This includes, but is not limited to:

  • Setting maximum and minimum student numbers for group classes
  • Adjusting group sizes as needed for educational effectiveness
  • Combining or splitting groups to optimize learning outcomes
  • Modifying group composition based on student needs and abilities

Tutor Index may make such determinations before or during the course of instruction. While student preferences may be considered, final decisions regarding group size and composition rest solely with Tutor Index.

7. Disclaimer

  • Tutor Index reserves the right to modify these terms and conditions
  • All students and parents are expected to adhere to these guidelines

8. Intellectual Property

All materials provided during tutoring sessions remain the intellectual property of Tutor Index and should not be reproduced or distributed without explicit permission.

9. Limitation of Liability

While we strive for excellence in our tutoring services, we cannot guarantee specific academic results. Success depends on various factors, including student engagement and effort.
